This Privacy Policy explains how Ethos International School (“we”, “us”, “our”) collects, uses and protects personal data when you visit ethosedu.com or contact us through it. We are committed to handling personal data in line with Egypt’s Personal Data Protection Law (Law No. 151 of 2020) and its executive regulations.

1. Who we are

2. Personal data we collect

We only collect the personal data you choose to give us, together with limited technical information collected automatically. This may include:

• Contact details, such as the name, email address and phone number of parents, guardians or other enquirers.
• Information about students and applicants, such as name, date of birth, year group, previous school and other details you provide in an enquiry or application.
• Job applicant information, such as employment history, qualifications, and the CVs and documents you upload.
• Messages and form content you send us.
• Technical data, such as IP address, browser type, device information and pages visited, collected for security and website operation and analytics.

We collect this information through our enquiry and contact forms, school tour registration, admission enquiries and applications and job applications, including CVs and documents you upload. Please do not send us sensitive information (for example health or religious information) through the website unless a form specifically asks for it.

3. How we use your data

• To respond to your enquiries and arrange visits or tours.
• To process admission enquiries and applications and to communicate with you about them.
• To assess job applications and contact candidates.
• To send you news, events and updates you have asked to receive. You can unsubscribe at any time using the link in our emails.
• To keep the website secure, prevent misuse and fix technical problems.
• To understand how visitors use the website so we can improve it.
• To meet our legal and regulatory obligations.

We process personal data on the basis of your consent, to take steps you have requested (such as handling an application), to comply with legal obligations, or for our legitimate interests in running and protecting our school and website. Where we rely on consent, you can withdraw it at any time.

4. Children’s personal data

Information about children is provided to us by their parents or legal guardians. We use it only for the admission and education purposes for which it was given, restrict access to authorised staff, and do not use it for marketing. If you are under 18, please ask a parent or guardian to contact us on your behalf.

5. Who we share data with

We do not sell or rent your personal data. We share it only with trusted service providers that help us run the website and our admissions, and only as far as necessary:

• Website hosting and security providers that host and protect this website.
• Email service providers that deliver messages and notifications sent from the website.
• Google Workspace (Google Sheets), which our authorised staff use to manage form submissions.
• Our online admissions portal at admission.ethosedu.com, which is provided by a third-party forms service. Information you enter there is handled under this policy and the provider’s terms.
• Google, which provides Google Analytics and Google Tag Manager (see section 6).

We may also disclose personal data where required by law or by a competent authority. Some of these providers may store data outside Egypt; where this happens we take reasonable steps to ensure it is protected in line with applicable law.

6. Cookies and analytics

Our website uses cookies and similar technologies:

• Essential cookies needed for the website and its forms to work and stay secure.

7. How long we keep your data

We keep personal data only for as long as we need it for the purpose it was collected, or as required by law:

• Enquiries, contact messages and tour registrations: up to 12 months after our last contact with you.
• Admission applications that do not lead to enrolment: up to 12 months after the admission decision or after the application is withdrawn.
• Job applications, CVs and supporting documents: up to 12 months after the recruitment decision. If you are hired, your data becomes part of your staff record.
• Records of enrolled students: for as long as they are with us and afterwards for the period required by Egyptian law and education regulations.
• Newsletter and mailing-list subscriptions: until you unsubscribe, after which we stop sending you emails.
• Analytics data: kept by Google according to the data-retention settings of our analytics account, and used by us only in aggregated form.
• Website security logs: kept for a short period, normally no longer than 90 days, unless needed to investigate an incident.

When these periods end, we securely delete or anonymise the data. You can ask us to delete your data earlier (see section 9).

8. How we protect your data

We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), access controls, a website firewall and security monitoring. No method of transmission over the internet is completely secure, but we work to protect your information and to respond promptly to any incident.

9. Your rights

Subject to applicable law, you have the right to:

• Know what personal data we hold about you and obtain a copy of it.
• Ask us to correct inaccurate or incomplete data.
• Ask us to delete your data or restrict how we use it.
• Withdraw your consent at any time, without affecting processing already carried out.
• Object to processing and be told of any data breach affecting you.
